ApproveLane Terms of Service

These Terms govern a merchant’s access to and use of ApproveLane, a Shopify application provided by REXCODE DIGITAL LTD (“RexCode”, “we”, “us”, or “our”), company number 17088152, registered office 71–75 Shelton Street, Covent Garden, London, WC2H 9JQ, United Kingdom. ApproveLane is a product name and not a separate legal entity.

1. The service

ApproveLane helps merchants associate proof files with Shopify orders, send controlled customer review links, receive approvals or change requests, and maintain version and audit history. The service supports the merchant’s workflow; it does not make production decisions for the merchant.

2. Merchant responsibilities

The merchant is responsible for its Shopify store and customer relationship; the accuracy and legality of uploaded content; obtaining rights and permissions for proof materials and personal data; deciding whether an approval is sufficient for production; maintaining authorised staff access; and complying with applicable laws and Shopify requirements.

The merchant must review the recorded version and status before relying on an approval. A customer approval applies only to the specific proof version identified by the active approval link.

3. Acceptable use

Users must not upload unlawful, malicious, infringing, or unnecessarily sensitive material; attempt unauthorised access; interfere with service security; share credentials or private links with unauthorised persons; introduce malware; or use ApproveLane in a way that violates applicable law or Shopify’s terms.

4. Customer links and files

Merchants are responsible for sending approval links to the intended recipient. Links may expire or be revoked when a proof is replaced, cancelled, approved, or otherwise no longer current. Customers and merchants should not forward private proof links to unauthorised persons.

5. Privacy and data processing

Our Privacy Policy explains how information is processed. Where RexCode processes merchant-controlled personal data, the Data Processing Addendum forms part of these Terms.

6. Availability and changes

We aim to operate ApproveLane securely and reliably, but do not promise uninterrupted or error-free availability. We may maintain, modify, suspend, or discontinue features where reasonably necessary for security, legal, platform, or operational reasons. Material changes to these Terms will be reflected by the date above.

7. Suspension and termination

Access may be restricted or suspended to address security risks, unlawful use, material breach, platform requirements, or threats to other users. A merchant may stop using the service by uninstalling the App. Uninstall revokes active application access and approval links; retention and deletion then follow the Privacy Policy and applicable Shopify privacy mechanisms.

8. Intellectual property

Merchants and their licensors retain their rights in content uploaded to the App. The merchant grants RexCode and its service providers the limited permission needed to host, process, transmit, and display that content solely to provide and secure ApproveLane. RexCode retains its rights in the App, documentation, branding, and underlying software.

9. Disclaimers and responsibility

To the extent permitted by applicable law, ApproveLane is provided on an “as available” basis. Merchants remain responsible for production, fulfilment, contractual, intellectual-property, and customer-service decisions. Nothing in these Terms excludes or limits liability that cannot lawfully be excluded or limited.
